The Google Sheets Template

This is the workhorse. Three tabs that handle everything:
Tab 1: Weekend Schedule
Friday through Sunday, hour by hour. I've pre-filled it with a typical bachelorette flow (Friday arrival → dinner → night out, Saturday activity → dinner → club, Sunday brunch → checkout), but you can customize every cell.
The genius is having everything in one place. No more "wait what time is dinner?" texts. Just share the sheet link and everyone can check the schedule.
Tab 2: Budget Tracker
This is where friendships are tested. The template includes:
- Accommodation (who's booking it?)
- All meals (Friday dinner through Sunday brunch)

How to Use These Templates (Step-by-Step)
Step 1: Copy the Google Sheet
Click this link → File → Make a Copy. Give it a name like "[Bride's Name] Bach Weekend."
Step 2: Fill in the Budget Tab First
Start with what you know: how much is the Airbnb? How many people are splitting it? What's the per-person target budget?
Lock in the big expenses (accommodation, activities, transportation) before you worry about which rooftop bar to hit.
Step 3: Build Out the Schedule
Block out the non-negotiables first:
- Check-in / check-out times
- Any pre-booked activities (spa at 2pm Saturday, boat at 11am)
- Dinner reservations
Then fill in the gaps. Leave "free time" blocks — not everything needs to be scheduled.
Step 4: Send the Guest List Tab to Everyone
Get RSVPs, dietary restrictions, room assignments sorted early. Nothing worse than finding out someone's gluten-free the day you arrive.
Step 5: Share the Link (Not a PDF)
Send the Google Sheets link in the group chat. That way when plans change (and they will), you just update the sheet and everyone sees it. No sending "Updated Itinerary v4 FINAL FINAL 2.pdf"
Step 6: Copy the Google Doc for the "Final Version"
Once everything is locked in, copy the Google Doc template, fill it out with the final details, and print it or send as a PDF.

Don't over-schedule Saturday
I see this constantly. People pack Saturday so tight that by 5pm everyone's exhausted and cranky. Build in 2-3 hours of unstructured "get ready / relax / pool time" between the daytime activity and going out.
The budget tab prevents SO many fights
Seriously, fill it out and share it early. When everyone can see the costs upfront, there's way less drama about splitting bills later.
Leave Sunday super light
If checkout is at 11am and flights are at 2pm, you're not doing a full brunch + activity. Plan for one easy thing (coffee and pastries) and get to the airport. Everyone will be tired.
Add a "miscellaneous" line to the budget
Because there's always something. A last-minute Uber. Extra drinks. That weird cover charge nobody mentioned. Budget an extra $50-100 per person for buffer.
Use the schedule to manage expectations
If someone wants to do a morning hike but someone else wants to sleep till 11, put both on the schedule as "optional." Not everything needs to be a group activity.
Copy the sheet link into your phone notes
So when someone inevitably texts "wait what's the Airbnb address" you can just paste the link instead of typing it out for the 5th time.
Pre-fill the packing list section and send it out
Especially for destination weekends. If it's going to be 95°F in Scottsdale and someone packs jeans and boots because they "forgot to check," that's on you as the planner.

Do I need a Google account to use these templates? Yes, but it's free. You need a Google account to copy the Sheet and Doc. If someone in your group doesn't have one, you can export the sheet as an Excel file (File → Download → Excel) or share the Doc as a PDF.
Can I edit the templates on my phone? Yep, the Google Sheets and Docs apps work great for this. I'd recommend doing the initial setup on a computer (easier to see everything), but making updates on mobile is fine.
What if we're doing a longer trip? The template is set up for a Friday-Sunday weekend, but you can add columns to the schedule tab (just insert a new column for "Thursday" or "Monday") and add rows to the budget tab for extra meals/activities.
Should we split costs equally or track who pays what? Depends on your group. The template has a "Paid By" column so you can track who's covering what upfront, and a "Per Person" column for the split. I've seen groups do it both ways. Venmo/PayPal makes the reimbursement easy either way.
Can I add more people to the guest list? Absolutely. The template has 8 example guests but you can add as many rows as you want. The per-person budget formula in the Budget Tracker tab is set to divide by 8, so just update that cell (B16) to match your actual headcount.
Do you have a PDF version? The Google Doc template can be downloaded as a PDF (File → Download → PDF). The Google Sheet is best used as a live link, but you can also export it if needed.
What if plans change after I've filled everything in? That's the beauty of using Google Sheets — just update the cells and everyone with the link sees the new info immediately. Way better than trying to send "Updated Itinerary v3" PDFs to a group chat.
Can I use this for a destination bachelorette (like Cabo or Europe)? 100%. The template works for any location. You'll just need to adjust the budget for flights, accommodations, and the cost of activities in that destination. For international trips, add a row for flights and factor in exchange rates. The budget tracker works in any currency — just change the $ symbols to € or £ or whatever you're using.
What's the ideal group size for a bachelorette weekend? From what I've seen, 6-10 people is the sweet spot. Small enough that you can actually do things together (imagine trying to get a dinner reservation for 15 people), but big enough to split costs and make the vibe fun. Under 6 and it feels small. Over 12 and logistics get messy — you need multiple Ubers, restaurants can't seat you, and someone's always lagging behind.
Should the bride pay her own way? This is a group decision, but here's what I see most often: the bride doesn't pay for her accommodation or activities, but she covers her own meals and drinks. So if the Airbnb is $1,200 for the weekend, the other 7 people split it ($171 each), and the bride stays free. Same with the spa day or boat rental. But at dinner, she pays her own tab. Put a note in the Budget Tracker tab so everyone's clear on this upfront.
How do I handle people with different budgets? This is tricky but super common. The best approach: put the full budget breakdown in the sheet and share it before anyone commits. Say "This weekend will be approximately $500 per person including accommodation, meals, and activities. Let me know if that works for you." Give people an out early — it's way better than someone dropping out two weeks before or showing up and being stressed about money the whole time. You can also offer budget-friendly alternatives (skip the spa, cook one meal at the Airbnb, skip bottle service).
